Unauthorized vendors and unofficial solicitations for registration, housing, booth space, meeting space, or mailing lists may target you.
At VISION, we prioritize the safety and security of our exhibitors and attendees. Unfortunately, scammers often target events like ours, falsely claiming to provide attendee mailing lists, housing deals, or other services. To help you stay vigilant, here’s everything you need to know about identifying and avoiding these scams.
All booth personnel must be registered and then they (or you) can make their hotel reservations. The hotel reservation will be within each person’s exhibitor registration.
Once a registration is submitted for your booth personnel, they can log in to the Attendee Service Center to add a hotel reservation under the exhibitor room block or update their registration. A block of hotel rooms has been set aside for exhibitors with separate blocks at each hotel. Don’t delay–these rooms are going quickly!
NOTE: Each attendee must register with a unique email address. If you need assistance, please email info@visionkc.com.
Only the primary contact for your company will be able to log in and begin the hotel selection process. Reach out to them or our office if you need to know who to contact.
Using the credentials found in the email sent to primary contacts, they can log into the exhibitor service center and begin the hotel registration process for their teams.
The exhibitor toolkit includes information about Shipping, Display, and Furniture requests and other items that are of interest to exhibitors.
Viper Tradeshow Services has put together the following toolkits for our exhibitors! Each toolkit packet contains ALL of the details our exhibitors need to have a smooth experience at VISION.

Advance Warehouse – You can ship to the advance warehouse from February 3 – 24, 2026. We will receive until February 27, 2026, however you will incur a late charge.
Ship to Show Site (OP Convention Center) – Can only arrive on March 5-6, 2026 ONLY.
VISION has partnered with Capture Technologies that can help Exhibitors maximize their return on investment and connect with more attendees.
VISION exhibitors can maximize their tradeshow experience with Capture Technologies lead retrieval technology that can be used to collect electronic information* of attendees that visit your booth.
*Please note that you will be responsible for obtaining email addresses and scanning badges. But now you can use this software that will streamline the process for you.
The convention center’s website provides information about Electrical, Internet, and Utility requests and other items that are of interest to exhibitors.
To order services online:
New Exhibitors will need to create a login. Returning Exhibitors can login.
Advanced cut-off rate is 2/24/26. After this date, prices will be increased to the floor rate.
Login to Exhibitor Service Center and navigate to the Exhibitor Mobile App Directory Update. Keep your directory listing accurate and engaging by updating your company details below. Once you’ve made your changes, use the Preview Profile button to see exactly how your profile will appear to attendees.

The exhibitor toolkit form includes information about lead retrieval, expo passes, promotions to share with your customers, and t-shirt sponsorships. Please fill out the exhibitor toolkit form.
As a vender, you will need to post the certificate at your booth to show customers that sales tax is being collected. This certificate includes instructions to about collecting and remitting sales tax for the event.
You will use the Certificate to remit sales tax within 30 days after the event.
You will receive a physical packet once you arrive onsite for VISION, but you can use the documents to the right to plan ahead of time.
Vendors who are registered with a Kansas sales tax account will remit sales tax online only as they normally would (based on their filing frequency).
